Manage clients and contacts

Add, import, and archive client businesses and contacts

On the Clients page, you'll find every business and individual you work with. Each client business has its own page, and the people at that client business are its contacts. The Clients section in the sidebar has two pages: Clients (your main list by business name) and Contacts (all the people associated with the client business).

The Clients page

To create a client:

  1. Go to Clients using the sidebar

  2. Click Create client at the top right

  3. Choose the client type — Business or Individual — and enter the client's name

  4. Fill in the contact's details. Click + Add contact to add more people

  5. Click Create

To edit a client:

  1. Go to Clients using the sidebar

  2. Pick a client and click Edit from the three dots menu

  3. Edit the client's name or type and click Save

To edit a contact:

  1. Go to Clients → Contacts using the sidebar, pick a contact, and click Edit from the three dots menu — or open the client's page and edit the contact from its Contacts card

  2. Edit the fields and click Save

A contact's email can be changed at any time. A few things to know:

  • If the contact is connected to an Anchor user account, you'll see a confirmation — they'll need to use the updated email to access their client portal.

  • If the contact has proposals awaiting approval, changing their email withdraws those proposals back to your drafts (you'll be asked to confirm).

  • If a person is a contact on more than one of your clients, edit their email from each client's page.

To archive a client:

Archiving now happens at the client level — a client's contacts get archived along with it.

  1. Go to Clients using the sidebar

  2. Pick a contact and click Archive from the three dots menu

The client's details are kept, and you can restore them at any time: set the Client status filter to Archived, find the client, and click Unarchive.

A few rules to know:

  • Clients and contacts can only be archived if their associated agreement is terminated. Agreements that are Active or Completed are live agreements and their associated client and contacts cannot be archived.

  • If the client has proposals awaiting approval, archiving deletes those pending proposals — the confirmation will tell you before you continue.

  • If the client is selected on any draft proposals, archiving removes them from those drafts.

To delete a client:

Deleting contacts is a permanent action. Deleted contacts cannot be restored.

  1. Go to Clients using the sidebar

  2. Pick a contact and click Delete from the three dots menu

To bulk import clients:

  1. Go to Clients using the sidebar

  2. Click More actions → Import clients

  3. Download the CSV template

  4. Add your clients and their contacts — a client can have several contacts, one per row

    1. The header file on the template must be included in the csv upload and remain unedited.

    2. When adding new clients, the Client ID column will remain empty. This column will be filled in upon client creation.

    3. When adding new contacts to existing clients, export your contacts to a csv file, add the new contacts at the bottom, and copy and paste over the Client ID and Client name fields to match prevent creating duplicate clients with slightly different names (ex: Acme Corp vs Acme Cor.).

  5. Upload your CSV file

Tip: to add contacts to clients you already have, click More actions → Export all to CSV, add the new rows, and import the same file back.

To bulk export clients:

  1. Go to Clients using the sidebar

  2. Click More actions → Export clients

  3. Download the CSV template
