Anchor Tax Bulk: Create and Send Thousands of Personalized Proposals

Create hundreds or thousands of personalized client proposals in a fraction of the time, with each client's own pricing, recipients, and signatories.

Written by Anchor Team

Anchor Tax Bulk is currently in early access and will be available to all accounts soon.

Want to hear more? Email us at [email protected].

Anchor Tax Bulk lets you create and send proposals for your entire client base, without preparing them one by one. Whether you're preparing for tax season, updating annual fees, or introducing new services, you can use one proposal template to generate personalized proposals at scale.

Each client receives their own proposal, with pricing tailored to their needs. You can prepare your client and pricing information in Excel, Google Sheets, or with AI, then upload it to Anchor.

Why use Anchor Tax Bulk?

  • Save hours of manual work: Create and send hundreds of personalized proposals in a single process.

  • Personalize at scale: Offer tiered packages, optional services, and client-specific pricing, with limited-time discounts to encourage faster signatures.

  • Capture more revenue: Review historical fees, implement price increases, and identify opportunities to grow revenue.

  • Reduce errors: Automatically validate client details, signatories, and pricing before creating proposals.

  • Stay in control: Review and edit individual drafts before sending them in bulk.

  • Work smarter with AI: Use the Anchor Claude Connector to help prepare your client lists and pricing based on existing data.

Before you start

You'll need:

  • A proposal template: Every draft starts from one template. Its services, packages, billing terms, discounts, annual price increases, optional services, and effective date all carry over.

  • Clients and contacts in Anchor: If your clients aren't in Anchor yet, import them first.

  • Your pricing strategy: Decide whether to use your existing rates, introduce new pricing, or use AI to help analyze historical fees and suggest adjustments.

Each bulk supports up to 1,500 clients. For larger client bases, simply create additional bulks.

Start a bulk

Click the arrow next to Create proposal and select Anchor Tax Bulk.

Alternatively, click Create proposal and choose the Anchor Tax Bulk card.

The setup has four steps:

  1. Template

  2. Clients & recipients

  3. Pricing

  4. Review

Your progress is saved automatically, so you can close the window, prepare your files offline, and return whenever you're ready.

Step 1: Choose a proposal template

Select the proposal template you want to use for your bulk.

Your template determines what clients will see, including:

  • Services and tiered packages

  • Optional services and add-ons

  • Fixed, recurring, hourly, and other billing arrangements

  • Limited-time discounts and automatic annual price increases

  • Agreement terms and effective date

Tip: Use tiered packages to give clients choices, optional services to create upsell opportunities, and limited-time discounts to encourage faster signatures.

You can also set a proposal expiration period. Proposals will expire a specified number of days after sending, after which clients can no longer open or sign them.

Click Continue.

Template validation

Anchor automatically checks that your template is ready to use.

If required information is missing, you'll see an error and an Edit template link.

Two common issues are:

  • Missing details required to send a proposal.

  • Multiple services with the same name. Each service needs a unique name because it receives its own column in the pricing sheet.

Changing templates: You can switch templates freely before uploading pricing. If pricing has already been uploaded, Anchor will ask you to confirm the change. Your previously uploaded pricing is preserved if you return to that template.

If your documents require multiple e-signatures, you'll set the signing order in the next step.

Step 2: Set up your recipients list

Choose which clients receive proposals and who needs to sign each proposal.

  1. Click Download clients to get a CSV containing your clients and their contacts.

  2. Open the file in Excel, Google Sheets, or your preferred editor.

  3. Remove contacts who shouldn't receive a proposal. To exclude a client, remove all of that client's rows.

  4. Complete the Proposal role column for every contact you keep.

  5. Upload the completed file back to Anchor.

Assign recipient roles

Proposal role

Who it's for

Main signatory

The person who signs first. Exactly one is required per client.

Additional signatory

Anyone else required to sign the proposal.

Additional recipient

Someone who receives a copy but doesn't need to sign.

For example, a business owner might be the main signatory, while their finance manager receives a copy.

Important things to know

  • Keep client IDs and emails unchanged. Anchor uses these fields to match contacts to clients.

  • Only the Proposal role column is imported. Editing names or other descriptive fields doesn't update records in Anchor.

  • Main signatories receive Owner access in their client portal. If they aren't already an Owner, Anchor grants them that role and full client portal access when the proposal is sent.

  • Signing order matters. The main signatory always signs first. Additional signatories follow the order of their rows in the file.

  • File size: The maximum is 2 MB.

After uploading, Anchor displays the selected clients and recipients.

If there's an issue, such as a missing main signatory, multiple main signatories, or an email that doesn't match an existing contact, Anchor shows the affected client and the reason.

Correct the file and click Replace file to upload it again.

Tip: Have hundreds of contacts to organize? Use the Anchor Claude Connector to help identify the right signatories and prepare your file. See the AI section below.

Step 3: Set pricing

Personalize your pricing across hundreds or thousands of clients, without manually creating individual proposals.

Click Download to get your pricing sheet.

The file includes one row per client selected in Step 2, with each client's pricing initially populated from your proposal template.

Simply update the amounts that should differ from your standard rates.

For example:

Client

Tax preparation

Monthly advisory

Client A

$450

$150

Client B

$750

$250

Client C

$1,200

$500

This is especially useful when renewing annual engagements, applying fee increases, or preserving negotiated pricing for specific clients.

What can you personalize?

Your pricing sheet includes columns for supported pricing amounts, such as:

Pricing option

Example

Fixed-price service

1040 Individual ($)

Recurring service

Advisory ($/mo)

Optional service

Extension filing - Optional ($)

Pricing range

Bookkeeping - Min ($), Max ($)

Hourly or per-unit rate

Hourly support ($/hour)

Preapproved quantity

Hourly support - Preapproved (hour)

Client discount

1040 Individual - Discount (%)

Staged billing

Tax prep - Total ($), Stage 1 (%), Stage 2 (%)

Service within a package

Gold - Tax return ($)

Where a service appears in multiple packages, each package has its own pricing column.

How default pricing works

You don't have to change every cell.

Leave a cell blank to use the price from your template.

For example, if your template sets tax preparation at $600, you only need to enter a different amount for clients who should pay more or less.

To remove a template discount for a particular client, enter 0 in that client's discount column.

Once you're happy with the pricing, upload the file back to Anchor.

Important things to know

  • Amounts only: You can customize supported prices, but discount types, billing cadence, stages, and whether a service is optional are defined by the template.

  • Keep client lists aligned: Every client in the pricing sheet must also appear in your recipients list. Clients without a pricing row won't receive a draft.

  • Updating recipients: If you replace your recipients list, download the updated pricing sheet and upload it again.

  • Updating services: If you change your template's service structure after downloading the pricing sheet, Anchor will ask you to download an updated version. Your recipients list remains saved.

Anchor automatically checks for invalid numbers, negative amounts, discounts exceeding the applicable rates, and billing stages that don't total 100%.

Any errors are displayed by client so you can fix them before creating proposals.

Tip: Want to update last year's fees? With the Anchor Claude Connector, you can analyze historical invoices, identify clients with outdated rates, and help apply a new pricing strategy across your entire book.

Step 4: Review and create

You're almost done.

The Review screen displays:

  • How many proposals are ready to create.

  • Which clients will be skipped, and why.

Once everything looks right, click Create [N] drafts.

Anchor creates a separate, personalized proposal draft for every eligible client using the selected template, their pricing, and their recipients.

Nothing is sent automatically. You can review the drafts before deciding when to send them.

Draft creation runs in the background, so you can continue working in Anchor.

Each bulk uses the template as it was when creation started. Later template changes won't affect drafts already being generated.

Track your bulk in Tasks

Your bulk appears in the Tasks panel, where you can follow its progress.

Once processing finishes, the task displays one of three statuses:

  • Completed: Processing finished.

  • Cancelled: Processing was stopped.

  • Failed: An error prevented completion.

Click Details to see which drafts were created and any clients whose proposals couldn't be generated.

If you cancel a task, drafts already created are kept. Remaining drafts won't be created.

Anchor doesn't automatically retry failed drafts. You can start another bulk for the affected clients once the issues are resolved.

Tasks are cleared after 24 hours.

Review and send your proposals

Once the drafts are created, you have two options:

Review drafts

Click Review drafts to open the Drafts page filtered to your bulk.

Each proposal is a regular Anchor draft. You can open, edit, or discard it individually.

Click Show all drafts to return to your full drafts list.

Send all drafts

When you're ready, click Send all [N] drafts.

Anchor sends the proposals using the standard client email and tracks the sending process in Tasks.

You can also send multiple drafts from the Drafts page:

  1. Select at least two drafts.

  2. Choose Bulk actions → Send proposals.

If a proposal fails to send, it remains in Drafts.

You can cancel an active send. Proposals already sent stay sent, while the remaining ones stay in Drafts.

Pick up where you left off

Need more time to prepare your client list or pricing? No problem.

Anchor automatically saves your bulk setup.

When you open Anchor Tax Bulk again, you'll see Pick up where you left off, including your selected template, client count, and last completed step.

You can choose:

  • Resume: Continue your saved setup. Anchor checks whether any clients, contacts, or templates have changed and reopens the first step that needs attention.

  • Start over: Discard the saved setup and create a new bulk.

You can have one bulk in setup at a time.

Optimize your files with the Anchor Claude Connector

Turn your existing client and billing data into personalized proposals with the help of AI.

With the Anchor Claude Connector, Claude can help prepare both spreadsheets using your own rules and information available in your Anchor account.

This is particularly useful for firms with hundreds or thousands of clients, where manually reviewing contacts and historical prices can take significant time.

1. Prepare your recipients list with AI

Instead of assigning every contact manually, Claude can help:

  • Identify the correct main signatory based on client ownership.

  • Flag missing or suspicious email addresses.

  • Identify potentially duplicate client records.

  • Prepare a CSV in Anchor's required format.

How to use it:

  1. Start a bulk in Anchor and download the recipients CSV.

  2. Attach the file to a Claude conversation.

  3. Use the following prompt:

Suggested prompt:

I'm preparing an Anchor Tax Bulk proposal send. Help me prepare the attached recipients CSV.

Keep the columns, headers, client IDs, and email addresses unchanged.

For each client, assign the earliest-added client Owner with an email address as the Main signatory. If no Owner has an email address, use the oldest contact with an email.

Flag suspicious or placeholder email addresses and potential duplicate clients without making changes to those records.

Keep only valid Proposal role values: Main signatory, Additional signatory, and Additional recipient. Every included client must have exactly one Main signatory, so flag any client that needs my attention.

Return the corrected CSV in the same format, together with a summary of changes and issues to review.

Review the results, resolve any flagged issues, and upload the file back into Anchor.

2. Personalize pricing using historical billing

This is where AI can help turn your annual proposal process into a revenue growth opportunity.

Rather than manually reviewing last year's invoices for every client, Claude can help analyze historical fees and prepare your new rate sheet.

For example, you can ask Claude to:

  • Identify how much each client paid for tax preparation last year.

  • Match previous invoices to the services in your new template.

  • Apply annual price increases.

  • Identify clients with outdated rates.

  • Include relevant historical add-on charges.

How to use it:

  1. Download your pricing CSV from Anchor.

  2. Attach the file to Claude.

  3. Use the following prompt:

Suggested prompt:

Help me prepare the attached Anchor Tax Bulk pricing CSV using my historical billing data from Anchor.

For each client, review the invoices from the past 12 months and identify what they paid for each matching service, including relevant add-on charges.

Before making changes, tell me which invoice line items you're matching to each service column.

Update the pricing sheet using the historical amounts. Where no matching information exists, leave the cell blank so Anchor uses the template's default rate.

Keep all original columns, headers, and client IDs unchanged. Anchor rejects the file if a column is missing. Return the completed CSV with a summary of pricing differences and the invoices supporting them.

Review the proposed pricing, make any adjustments, and upload the file into Anchor.

3. Apply your own pricing strategy

You can customize Claude's instructions to reflect your firm's goals.

Here are some examples:

  • Increase revenue: "Apply a 5% increase to last year's tax preparation fees, rounded to the nearest $10."

  • Focus on relevant clients: "Include only clients who purchased tax preparation services last year. List all excluded clients."

  • Identify pricing opportunities: "Identify clients whose current fees are below our minimum tax preparation rate of $500."

  • Review historical billing: "Use only invoices related to tax preparation for tax year 2025, excluding other services."

  • Improve data quality: "Identify potential duplicate clients even when their names differ slightly, such as LLC versus Inc. or '&' versus 'and'."

Claude can help prepare your data, but you remain in control. Always review suggested changes before uploading, particularly pricing and client information.

Prepare your files with Excel formulas

Already have last year's prices in a spreadsheet? Use Excel's XLOOKUP to bring each client's previous price into Anchor's rate sheet automatically, instead of copying amounts one by one.

For example, suppose you have a tab called 2025 Fees with the amount each client paid for a 1040 last year:

A: Client name

B: 2025 1040 price

Acme Supply Co.

$450

Jane Doe

$750

Northside LLC

$1,200

To fill the 1040 Individual ($) column in your Anchor pricing sheet:

  1. Download the pricing CSV from Anchor and open it in Excel. Add the 2025 Fees tab (or copy your historical list into the same workbook).

  2. Locate the client-name column and the 1040 Individual ($) column in the Anchor sheet.

  3. In the first client's 1040 pricing cell, use the formula below. This example assumes that client's name is in B2 of the Anchor sheet.

    =XLOOKUP(B2,'2025 Fees'!$A$2:$A$1000,'2025 Fees'!$B$2:$B$1000,"")

  4. Fill the formula down the 1040 pricing column. Excel matches each client name with the 2025 Fees tab and returns their previous 1040 price.

  5. Check unmatched clients and confirm that names and prices are correct. Then copy the completed pricing column and use Paste Special → Values so the file contains prices rather than formulas. Save the pricing sheet as a CSV with the Anchor sheet selected (Excel saves only the active sheet to a CSV), and upload it to Anchor.

How the formula works: B2 is the client name to look up; column A on 2025 Fees contains client names; column B contains their historical 1040 prices. The final "" returns an empty result if no match is found, allowing the template's default rate to apply when the exported cell is left blank.

Important: Match names carefully. Extra spaces, different spellings, and duplicate client names may cause missing or incorrect matches. If the client-name column isn't B, adjust B2 in the formula to the correct cell. Keep all original CSV headers and client IDs unchanged, and confirm unmatched cells are actually blank before uploading.

You can use the same method to bring in prices for advisory, bookkeeping, or other services, or combine it with formulas for annual price increases.

Good to know

  • Nothing is sent without your approval. Creating a bulk generates drafts only. Sending is always a separate action.

  • Running a bulk twice creates new drafts. Anchor doesn't automatically detect existing drafts for the same clients, so check for duplicates before sending.

  • Client records remain unchanged. Editing names in your uploaded spreadsheets doesn't rename clients or contacts in Anchor.

  • AI suggestions require review. Claude works with the data available through your Anchor connection, but you should confirm pricing and recipient changes before importing them.

  • Large AI analyses may take time. When reviewing extensive invoice histories, let Claude complete its analysis before using the resulting files.
