Update a proposal after it's been sent to a client — without creating a new one

Editing a sent proposal

You can edit a proposal that has already been sent to a client, without having to send a new one. This lets you update services, pricing, terms, and more directly on the existing proposal, and your client will always see the latest version from the same link they originally received.

How to edit a sent proposal

  1. Go to Proposals > Sent

  2. Click the three dots next to the proposal you want to edit and select Edit proposal

  3. A confirmation message will appear letting you know the proposal will be temporarily withdrawn while you make changes. Click Edit proposal to confirm.

  4. Make your changes in the editor

  5. Click Publish Changes

Once you publish, the proposal goes back to Sent to client status and your client can access it right away. No additional email is sent, and they simply see the updated version when opening the original link.

While you're editing

While the proposal is in edit mode, its status changes to Pending republishing and your client cannot access it. If they try to open the link during this time, they'll see a message letting them know the proposal is currently being updated.

If you close the editor without publishing, the proposal stays withdrawn. Your client won't be able to access it until you return to the editor and either publish your changes or cancel editing.

To cancel editing without publishing, click the three dots at the top of the editor and select Cancel editing. This will restore the proposal to its previous state.

Changing the primary contact

The primary contact cannot be changed through the edit flow. To update who receives and signs the proposal, click the three dots next to the proposal on the Sent page and select Withdraw > Send to drafts. Once it's back in drafts, you'll be able to update the primary contact. Keep in mind that this will send a new email with a new link, and the previous link will no longer be active. If you see that the option to withdraw is not available, make sure you first cancel editing following the steps described above.

Approving on behalf of your client

To approve a proposal on behalf of your client, click the arrow next to Publish Changes and select Approve on behalf of your client to activate the agreement directly. You can also do this without editing the proposal first: click the three dots next to any sent proposal and select Approve on behalf, as long as the proposal is not in Pending republishing status.
