How to route invoices to the right team member using Zapier

Automatically route invoices to the team member assigned to a specific client.

With Anchor's Zapier integration, you can automatically notify the right team member whenever an invoice is issued for one of their clients. This is a great way to keep account managers in the loop without any manual tracking.

Before you start: Make sure you've connected Zapier to Anchor.

Step 1: Create the trigger

  1. In Zapier, click Create Zap

  2. In the Trigger section, search for Anchor

  3. Choose Invoice Issued as the event

  4. Connect your Anchor account (or select it if already connected)

  5. Test the trigger to confirm it's working. Note that Zapier will use hardcoded sample data for this step.

Step 2: Add a lookup table to identify the right recipient

  1. Add a new step and search for Formatter by Zapier

  2. Choose the Utilities event, then select Lookup Table

  3. In the Lookup Key field, map the Client Business Name field from the Anchor trigger

  4. Build your table: enter each client's business name on the left, and the corresponding team member's email address on the right:

Company Name

Team Member Email

ABC Company

XYZ LLC

This tells Zapier: "If the company is ABC Company β†’ send to Max."

Important note: The business name in your lookup table must match the name in Anchor exactly. Copy it directly from Anchor to avoid mismatches.

Step 3: Send the notification

  1. Add a final step and choose your notification app, like Gmail, Outlook, or Slack

  2. In the recipient field, map the output from your lookup table

  3. Add any other invoice details you want to include in the notification, for example, the invoice amount, due date, or a link to the invoice

  4. Test the action, then click Publish to turn your Zap on

Best practices

  • Keep company names consistent. Avoid duplicates or variations

  • Copy/paste company names directly from Anchor to avoid mismatches

  • Review your lookup table regularly

  • Start with a small set of clients, then expand
