You can use Zapier to connect Anchor with Calendly so that when someone books a discovery call with you, a matching contact is created in Anchor automatically, based on the invitee's information.
📣 Note: This integration is in beta. If you run into any issues or have questions, reach out to us at [email protected].
What this Zap does
When someone books a discovery call with you, this Zap automatically creates a contact in Anchor based on the invitee's information, keeping your records up to date without any manual entry.
First, open the Zap template here and follow the steps along. You can refer to this article for guidance.
Before you start
You'll need a discovery call scheduling link set up in Calendly. Calendly asks for first name, last name, and email address by default, but Anchor also needs a business name to create a contact, so you'll need to add two custom questions to your scheduling link's invitee form:
A question asking for the invitee's business name (for example, "What's the name of your business?"), with a short text answer. This informations is required for Anchor to create a contact. Individuals should add their full name again in this field.
A question asking for the invitee's phone number (for example, "What's the best phone number to reach you?"), with a phone number answer. This is optional and the contact can still be created without it.
Setting up the Zap
1. Getting started
Click Use this template. Name your Zap and choose which folder you wish to save it in. Click Next to move through the guided setup.
2. Connect your apps
Calendly — connect your account, or select an existing connection if you already have one.
Anchor — click Select. You'll be asked for:
API Key — generate this from Integrations > API keys in your Anchor account.
Email — the email of an Anchor team member with admin or owner permissions.
3. Fields
Under Invitee Created or Rescheduled in Calendly, select the discovery call event type you set up with the business name and phone number questions.
Under Create Contact in Anchor, you'll see the Company Name and Phone fields. Type in a placeholder for now, as the template can't show your custom questions until it has an actual test invitee to work with, you'll map these after publishing.
4. Review and publish
Once Zapier confirms all steps are set up, click Publish.
5. Map your fields
Now that the Zap is live, book a test discovery call using your scheduling link, filling in the business name and phone number questions, then open the Zap t and click "Edit" to edit it:
Click the Invitee Created or Rescheduled trigger and, under "Test, select "Find new records/Test trigger", this loads your test invitee's data, including their answers to your custom questions as "Questions and Answers" fields. Click the new record and select "Continue with selected record".
Click the Create Contact in Anchor step:
Company Name → map this to the "Questions and Answers Answer" field that matches your business name question. The number reflects the order the question appears in your scheduler, not counting the name and email fields. For example, if business name is the first custom question, this will be "Questions and Answers 1 Answer".
Phone (optional) → map this the same way, to the "Questions and Answers Answer" field matching your phone number question. If it's the second custom question, this will be "Questions and Answers 2 Answer".
Test the step. A contact should be created in Anchor matching your test invitee's information.
Republish the Zap. From here on, every new discovery call booking will automatically create a matching contact in Anchor.
Important note: Anchor won't create a duplicate contact. If a contact with the same information already exists, the Zap will fail instead of creating a second copy.
