We are excited to introduce an integration with Karbon, a leading practice management solution. This integration allows you to streamline your workflow by connecting Anchor to Karbon, making it easier to manage client relationships, track services, and automate work item creation upon proposal approval.
Below, we’ll guide you through how this integration works and what you can expect.
Key Features of the Karbon Integration
Automatic Contact and work item Creation:
Upon proposal approval, Anchor will automatically:
Create a new contact in Karbon (if the contact doesn’t already exist).
Create work items based on the mapped Work Templates.
Team Member Assignment:
When creating a proposal in Anchor, you can override the default team member assignments. This option ensures the correct team members are associated with the work to be done. These overrides are available in proposals and proposal templates.
Connecting to Karbon
Log into Karbon
Copy your Anchor API key from Settings > Connected Apps > Anchor.
Insert your Anchor API key into Anchor under Settings > Integrations > Karbon.
How the Integration Works
1. Creating Contacts in Karbon
Once a proposal is approved in Anchor, a contact will be created in Karbon if needed.
If the contact does not exist in Karbon (by email address):
Anchor will create both the contact and the associated organization.
If the contact already exists:
If the company name in Anchor matches the organization name in Karbon exactly, Anchor will use the existing organization and contact in Karbon.
If the company name in Anchor doesn't match the organization name in Karbon, the contact, organization and work items won't be created, and you'll receive an email notification to manually complete the action.
2. Creating work items in Karbon
Once a proposal is approved in Anchor, Work Items will automatically be created in Karbon for the contact assigned to the agreement, based on the mapping between Anchor services and Karbon Work Templates. You can set up this mapping between your Anchor services and Karbon Work Templates on the integration page.
3. Overriding Assigned Team Members
While the Work Template in Karbon automatically assigns team members, Anchor allows you to override these assignments when creating a proposal. This feature is available in proposals and proposal Work Templates.
You can assign different team members to each role or leave a role unassigned if needed. If there are multiple Work Templates associated with a service, all roles will display.
