With Auto-Approve Amendments, you can easily make adjustments to agreements in Anchor and get the changes approved after a defined notice period. Anchor will notify your client about what has changed and the remaining time period in which they should review the changes before they're automatically approved.

How to Set Up Auto Approval for Amendments

First, make sure to let your client know that the Anchor agreement serves as a source of truth and that any change will be reflected in it. This gives clients greater clarity and confidence that they will always be informed of any change without having to re-approve a new agreement or a change in scope.

  1. Click 'Create proposal'

  2. Under the Agreement Settings, select 'Enable amendment auto-approval with a notice period'

To set it as a default to all proposals, go to the Proposal default settings;

  1. Select the ‘Auto Approval of Invoices’ checkbox

  2. Choose the desired notice period from the dropdown menu that appears

When you send the proposal to your client, a new clause will be added stating the time it takes for amendments to be approved.

When you edit an agreement, the notice period will be visible. Each amendment will display a counter indicating how much time remains until the notice period is up.

Whenever an edit is made and takes effect, the activity log of the agreement will be updated. Whether it is a manual or automatic approval.

The Client Experience

Your client will receive an email notification stating that changes have been made and when they will take effect. There will be two automatic reminders before the notice period expires: one after half the notice period has passed, and one the day before.

Clients can disable auto-approval for agreement amendments if they wish. It will then be necessary to manually approve these amendments before they can take effect.

🚩 Once your client declines auto-approval of existing amendments, any new amendments you make can be automatically approved at the end of the agreement period.

The below attributes can be auto-approved in an agreement;

  • Service description

  • Service Pricing

  • Pre-Approved quantity (h/u)

  • Billing trigger (auto, manual)

  • Billing frequency (Monthly, quarterly, yearly)

  • Billing recurrence (One-time or Recurring)

  • Payment terms

  • Addition of a new service
