The Billing Hub is your command center for billing; you can edit invoices and view future invoices here, as well as bill clients for services manually once you’ve completed the work.

Access the Billing Hub from two different places;

  • Click the billing page from the sidebar, and then select the client whose billing hub you’d like to access.

  • Alternatively, select the relevant agreement, and click the Billing Hub tab.

Billing Hub Overview

In the Billing Hub, you can review the upcoming invoices scheduled for your client (by default, the upcoming invoice will show). Each invoice will contain the following:

  • Invoice issue date - based on the monthly billing date of the agreement

  • Payment due date - based on the payment terms defined

  • Services included

  • The total to be billed

Each service has a trash icon to the right of each row allowing you to delete services. The trash icon doesn’t delete the service from the agreement but rather removes it from the next scheduled invoice.

When changes or charges need to be approved by the client, the relevant service status shows 'Pending approval'.

When can services be 'Pending approval'?

Use case

The tooltip will show...

Let’s review the Billing Control to learn more about editing an invoice.

The Billing Control

The Billing Control panel allows you to manage the next scheduled invoice. This panel is divided into Manual and Automatic billing triggers. At the bottom, you can find the Credit section as well as the Add Credit and Add Charge buttons.

Manual services

To bill a manual service:

  1. Click ‘Bill service’

  2. Select between:

    1. ‘Add to upcoming bill’ - adds the service to the upcoming invoice

    2. ‘Bill now’ - issues an invoice immediately

    3. Bill on date - select a future date to bill this service

Automatic services

You can toggle automatic services on or off in order to add or remove them from future invoices. Automatic services status can only be toggled on or off when reviewing the upcoming invoice, since changes affect all future invoices, i.e. from the upcoming invoice onwards.

Adding credits

You can add credits by clicking the 'add credits' button and filling out the details.

Using the toggle, credits can be included or removed from an invoice. To delete a credit completely, click the trash can in the Billing Control.

Adding charges

One-time charges behave slightly differently. Click 'Add Charge', enter the details, and choose whether to bill it now, add it to the upcoming invoice or bill it on a future date.

This charge is not within the scope of the agreement so it will not appear in the Billing Control, though it will be seen in the invoice. When adding it to a future invoice, you can remove it using the trash button.
